Paste anything

Press Add to board and paste. A to-do list, a meeting transcript, an email thread, a WhatsApp conversation, your own notes after a call. It does not need tidying first.

  1. Open the board for that client.
  2. Press Add to board and paste the whole thing.
  3. nicefig reads it against the whole board. For a long call this takes a minute or two, and you can carry on meanwhile.
  4. What it found waits in To look at.
Paste the whole thingThe part you would have cut is often the one that matters in three weeks. nicefig would rather suggest something you dismiss in two seconds than miss something.
Your current list firstOn day one, paste the list of what you are working on before anything else. Every call and email after that has figs to land on.

Calls and meetings

From any recorder, paste the transcript or the summary. Otter, Granola, Fireflies, Zoom, Teams and Google Meet all give you one. A full transcript is better than a summary, because the summary has already decided what mattered.

Fathom can bring your meetings in by themselves. We connect it for you: write to us and we set it up. After that, each recorded call is filed to the right client by who was on it, and the ones it cannot place wait for you to choose.

Last week countsPaste the calls from the last two weeks, oldest first. It is the fastest way to get the history of each fig in place.

Recordings and voice notes

Attach a recording to Add to board: MP3, M4A, WAV, WebM, OGG or FLAC, up to about forty minutes. It is written out and then read like anything else.

For the conversation you did not plan, press the microphone in the corner of the box. A timer runs while you record. Press stop, and it is on its way.

Talk it throughWalking back from a meeting? Record yourself saying what was agreed. Two minutes of voice is enough for nicefig to update the right figs.

Files, photos and screenshots

Drop files into Add to board: Word, PDF, Excel and CSV, web pages and plain text. Photos and screenshots are read as text, so a whiteboard after a workshop or a screenshot of a chat works too. Everything is kept with the work, so you can ask about it later.

The documents that set the rulesBriefs, price lists and brand guidelines are worth adding on day one. nicefig keeps them with the work and draws on them when you ask it a question.

The browser extension

For the work that lives in web apps: a Teams chat, a comment in a shared document, a message in a client portal.

  1. We send you the extension with install steps. It is not in the Chrome Web Store yet.
  2. Select text on any page and press Ctrl Shift K. On a Mac, Cmd Shift K.
  3. Clippings collect in a side panel. Send them to a board as one piece when you are ready.
Collect, then sendGather everything from one client over a morning and send it once. nicefig reads it together, and you look over one set of suggestions instead of ten.
Switching on this autumn

Email, by itself

Until then, paste email threads as above. Once it is on, you connect an inbox once and the work in it arrives without you doing anything.

  1. In nicefig, open Settings, then Email in, and add your inbox. You get a private address for it.
  2. Gmail: in Settings, See all settings, Forwarding and POP/IMAP, add that address. Google sends a confirmation code, and it appears in nicefig within seconds.
  3. Outlook: in Settings, Mail, Forwarding, turn forwarding on to that address.
  4. Choose which people and companies each board listens to. Newsletters and automated mail are left alone.
Your own repliesTo get something you sent onto the board, add your nicefig address as BCC.
Work email managed by ITSome Microsoft 365 companies block forwarding outside the company. If Outlook refuses, ask your IT team to allow it for your address.

Things to always remember

Some things are not work but rules: "always copy in the bookings team", "prices include VAT", "Sam signs off anything over £500". Paste them like anything else. nicefig offers to remember them, and from then on they turn into steps on the right figs by themselves.

New work becomes a fig

With its steps, a date if one was said, and who you are waiting on, if anyone.

Updates go onto their fig

A moved date, an added step, a decision. Each shows the words it came from, who said them and when.

Untick what is wrong

Then approve the rest in one go. Nothing changes on your board until you do.

Changed your mind?

Anything you approved can be undone from the history.
